Postdeadline paper submission Instructions

The Technical Program Committee (TPC) of the MWP 2025 Conference will accept postdeadline paper submissions from September 16, 2025, to October 7, 2025. Papers have to be submitted to the TPC by email at Jose.azana@inrs.ca following the same guidelines as for the regular papers, as detailed below, namely using the provided template and PDF Express to ensure that their files comply with IEEE requirements. 

Papers submitted will be reviewed by the TPC and notified no later than October 10, 2025. Papers accepted will be granted an Oral presentation during the Postdeadline Session on Friday, October 17, 2025, 3:30 pm. Presenters will have to be registered to the conference in order to give the Oral presentation.

Instructions for authors

Presentation Format
You can choose between and oral contribution or a poster presentation.  All oral presentations will be scheduled for 15 minutes (12 minutes presentation and 3 minutes for questions); authors of posters should be available to answer questions during a dedicated poster viewing time.

Paper Requirements
Authors are required to submit a four-pages (maximum length) paper (note that the minimum length is 2 pages) in a PDF file using the standard IEEE two-columns format (see template below) before the Paper submission deadline of May 27, 2025 - EXTENDED TO JUNE 10, 2025.

Papers accepted for presentation at the conference will be available through IEEE Xplore, and thus must meet a minimum standard for both print and electronic publishing. Authors submitting to MWP 2025 must use IEEE PDF eXpress to prepare suitable PDF files. IEEE PDF eXpress is a free on-line service that will convert your source file to PDF from a number of different publishing platforms, or verify that the PDF you created meets the IEEE Xplore specifications.

To use IEEE PDF eXpress, please go to: IEEE PDF eXpress site and enter 65272X for the Conference ID. 

Please ensure that the converted PDF file (from IEEE PDF eXpress) is less than 3 MB in size as this is the maximum file size accepted by the submission system.

English is the official language of the conference. As a result, all papers must be entirely submitted (and presented) in English.

The submitted papers will be reviewed by the technical program committee, and a final decision will be made and will be sent to the authors by early July, 2025.

About the IEEE Electronic Copyright Form 
After submission of accepted papers to IEEE, authors will receive an email from IEEE to fill in the electronic Copyright Form for their submitted paper(s). This will complete the process for submission to Xplore.

About Best Student Paper Competition
If a paper is submitted for best student paper competition, the authors must indicate this in the submission. A paper is eligible for the student paper competition if:

  • The principal author should be a student at the time of submission of the paper.
  • The student should be registered for the conference. No financial support will be provided for conference registration, transportation and accommodation by the conference organizers.
  • The student author should be the presenter of the paper at the conference.

Ten papers will be short listed and 3 best papers will be selected at the conference. The award will be presented to the recipients during the gala dinner.

Additional Information
Each accepted paper must be presented by one of the authors in person at the conference according to the published schedule. At least one of the authors must register for the conference before the author registration deadline of August 1, 2025. Failure to do so will result in the automatic withdrawal of the paper from BOTH the conference program and proceedings on IEEE Xplore. An author may submit up to three (3) papers.

Ready to Submit?

  1. Once your paper is written according to the instructions given in the template, ran through the IEEE PDF eXpress tool, and your PDF is less than 3 MB in size, choose your preferred session/topic and a second choice in the list above.
  2. For Postdeadline paper submissions, send paper to the TPC by email at Jose.azana@inrs.ca 

Print your poster locally

Poster printing service - 40" (102 cm) high and 36" (91 cm) wide 

We offer registered participants the option of having their poster printed and delivered to the venue. The poster will be printed - 40" (102 cm) high and 36" (91 cm) wide - and available for pick up at the registration desk. Payment must be made by credit card at the time of purchase. The rate is $75 + applicable taxes. Please note that this is a printing and delivery service only and the organization will not display your poster on your behalf if you are not attending.

To use this service, submit and pay your order before or on October 6, 2025. Your poster will be delivered at the venue on October 14, 2025.
